Hotel Merihovi General Terms and Conditions for Accommodation Booking and Cancellation

Scope and Special Conditions

These terms apply to individual accommodation bookings made by private individuals, unless otherwise agreed in a specific contract or unless the terms of the selected pricing product state otherwise.

The hotel has the right to apply special conditions that deviate from these general terms.

The hotel reserves the right to change prices if changes arise from legislation regarding VAT or other public charges imposed by authorities after the reservation is confirmed or during the contract period agreed with the customer. Customers will be informed of such changes separately.

Hullu Poro Oy / Hotel Merihovi follows the following terms when accommodations are ordered, booked, or cancelled directly through the hotel. These terms become binding for both parties (Hullu Poro Oy / Hotel Merihovi and the customer = the person making the reservation) once the customer has made the reservation. The person making the reservation must be of legal age.

Reservation and Confirmation

At the time of reservation, the customer must provide their name, contact details, arrival and departure dates, payment method, and any other relevant information. For details about how this information is stored and used, see Hullu Poro Oy’s privacy statement.

A reservation is binding for the hotel once it has been confirmed verbally, in writing, or via email, and a reservation number has been issued.

Online Reservations by the Customer

When the customer makes a reservation through the www.merihovi.fi online service, they accept the booking terms and confirm they have read the relevant instructions. The system sends an automatic confirmation email immediately to the address provided.

Online reservations are paid in full immediately by credit card or online banking.

The customer is responsible for printing a receipt, accommodation description, and booking terms. After payment, the customer must return to the reservation confirmation page to finalize the booking. If the customer does not return to the confirmation page, the booking is not completed, and no confirmation email is sent. Hullu Poro Oy / Hotel Merihovi is not responsible for failed reservations. The customer must contact the hotel immediately to resolve the issue. The hotel does not guarantee availability at that point.

If the accommodation is no longer available, any charged payments will be refunded, or an alternative accommodation will be offered if possible.

Check-In and Check-Out

Rooms are available from 3:00 PM on the day of arrival unless otherwise stated. Rooms must be vacated by 12:00 PM on the day of departure unless otherwise agreed.

Rooms are held until 6:00 PM on the arrival day unless a later arrival time has been agreed or other conditions apply. If late arrival is not confirmed, the hotel has the right to cancel the booking and reassign the room after 6:00 PM.

If the customer arrives at the agreed time but no room is available, the hotel must assist in arranging equivalent accommodation at no additional cost.

Cancellations or No-Shows

Cancellations must be made by 6:00 PM on the arrival day unless otherwise stated.

The hotel may charge the first night including taxes and any extra services if the guest fails to arrive as agreed.

Cancellations may be made without cost—despite the standard terms—and prepayments refunded in cases of serious illness, serious accident, death, or another unexpected and serious event affecting the guest or a close relative. An €8 processing fee may be deducted.

Cancellations must always be made in writing (via email) to Hotel Merihovi.

Failure to pay an invoice does not constitute cancellation. The customer must always cancel in writing. The cancellation is considered made when the written notice reaches Hullu Poro Oy. If the customer can prove the written cancellation was sent correctly and on time, it will be accepted.

Early Departure (Before the Agreed Date)

If the customer leaves earlier than agreed, the hotel must be informed by 6:00 PM the day before departure. Charges for unused nights may still apply. Early departure may also change the pricing.

Payment Methods

Hotel Merihovi accepts most major credit cards, the hotel’s gift cards, and cash (€). Foreign currencies are not accepted.

An advance booking fee (€8) may be charged to the credit card at the time of reservation and will be deducted from the final bill. If no prepayment was made, the room must be paid for in cash or by card upon arrival or no later than at check-out.

The hotel has the right to charge or pre-authorize a payment card at the time of booking or check-in. Costs incurred during the stay may be charged to the card. If no pre-authorization was done, the hotel may request a deposit at check-in for additional services.

Reservation Modifications

If the customer changes the accommodation or dates within the allowed cancellation period, the modification can be made free of charge.

Hullu Poro Oy’s Right to Cancel

In the case of force majeure or an obstacle beyond the control of Hullu Poro Oy (e.g., fire or water damage), the reservation may be cancelled. The customer is then entitled to a full refund. Reservations may also be cancelled if payments are not made on time.

Stay at the Accommodation

The accommodation is available from 3:00 PM on the day of arrival. Check-out is by 12:00 PM on the departure day.

The price includes bed linen, towels, evening sauna, breakfast, and final cleaning.

Guests must observe good conduct and house rules. Violations may lead to immediate removal without refund. Payment for the stay and any extra services is still required.

Cleaning is included, but the guest must leave the room in normal condition with furniture and equipment intact. The hotel is not responsible for items left in the room.

Smoking is strictly prohibited. If smoking has occurred, a cleaning fee of at least €300 will be charged. The hotel is not liable for any allergic reactions or issues caused by unauthorized smoking or pet allergens.

Damages

The customer must compensate for any intentional or accidental damage caused to the accommodation or its contents. Damages must be reported immediately to the hotel reception.

Pets

Pets are only allowed in designated pet-friendly rooms. Pet presence must be declared at booking. A fee of €15 per room per stay applies. The customer is responsible for cleaning up after the pet and for any damages caused. All damages must be reported immediately.

Price Corrections

Hullu Poro / Hotel Merihovi reserves the right to correct pricing errors.

The hotel is not obligated to honor a clearly incorrect price if it should have been obvious to the customer, e.g., a major discrepancy or an unusually low price.

Governing Law and Jurisdiction

Disputes will first be settled through negotiation. If no agreement is reached, the customer may take the matter to the Consumer Disputes Board or the District Court of Lapland. Finnish law applies.

Hullu Poro Oy is not responsible for changes beyond its control made after the publication of these terms.
